PropertyTCO™ Privacy Policy
This policy explains what information PropertyTCO™ Residential, PropertyTCO™ Services, and related PropertyTCO™ websites collect, how that information is used and shared, how long it may be retained, and what choices users have regarding support, privacy, and deletion.
1. Information we collect
PropertyTCO™ may collect account information such as email address, password-related authentication data, support requests, role and workspace selections, subscription status, push-notification tokens, and related account metadata. PropertyTCO™ may also collect or store information users choose to enter or upload, including property addresses and ZIP codes, property and asset records, maintenance and warranty history, contractor business profiles, service areas, license and insurance records, work requests, proposals, questions and answers, reviews, safety reports, completion photos, report requests, receipts, manuals, and similar documents. Marketplace records may include quoted, authorized, paid, refunded, disputed, or payout-related amounts and status information.
2. How we use information
- To create, authenticate, secure, and maintain user accounts.
- To operate property, asset, maintenance, contractor marketplace, verification, and report workflows.
- To match service requests and contractors using service category, ZIP code, and service radius.
- To generate in-app alerts, optional push notifications, and limited transactional emails.
- To process support requests, product feedback, administrative reviews, and account-related actions.
- To detect misuse, protect the platform, enforce policies, and comply with legal obligations.
- To improve PropertyTCO™ defaults, estimate quality, forecasting logic, and product operations.
3. Aggregated and de-identified model improvement
PropertyTCO™ may use aggregated, de-identified, or statistical information derived from platform activity to improve replacement cost assumptions, utility estimates, maintenance schedules, pricing models, reserve projections, coverage audits, and related product intelligence. When used for those purposes, PropertyTCO™’s aim is not to identify an individual user directly, and direct identifiers such as name or email are not intended to be part of those model-improvement datasets.
4. Sharing of information
PropertyTCO™ does not sell personal information. Information may be shared with service providers that support hosting, cloud storage, authentication, notifications, analytics, security, moderation, and payment processing. Information may also be shown to other authorized users inside the platform depending on the workflow, such as co-owners, contractors, appraisers, real estate agents, certifiers, or admins when access is requested, granted, or otherwise permitted by the product design. PropertyTCO™ does not use personal information for cross-app advertising or sell it to data brokers.
5. Marketplace visibility and safety
During open bidding, eligible contractors may see a request’s category, general scope, ZIP code, timing, public questions and answers, and other information needed to prepare a proposal. The exact service address is restricted until the owner selects a proposal and the required privacy and payment gates are satisfied. Proposal details are visible to the requesting owner. Marketplace questions, answers, ratings, and review replies may be visible to other participants in that workflow. Reports and blocks are used for safety, moderation, fraud prevention, and support.
6. Uploaded files and documentation
Users may upload images, receipts, manuals, warranties, service documents, contractor credentials, completion evidence, and other files. Those files may be used to support property organization, maintenance history, contractor coordination, verification, and report generation. Contractor license and insurance files are kept as private verification records and are not offered as public downloads. Access to other files is limited according to the related property, request, job, or administrative workflow.
7. Payments
When marketplace payments become available, a payment provider may collect payment-card, bank-account, identity-verification, tax, or payout information directly under its own terms. PropertyTCO™ is designed to receive transaction identifiers, amounts, and status updates without storing complete card or bank-account numbers. Marketplace payment processing is not active until it is clearly offered in the product.
8. Data retention
PropertyTCO™ retains information for as long as reasonably necessary to operate the platform, maintain account and property records, support reports and workflow history, resolve disputes, protect the service, comply with legal obligations, and satisfy tax, security, accounting, or recordkeeping requirements. Retention periods may vary depending on the type of data and the workflow involved.
9. Security
PropertyTCO™ uses AWS-hosted infrastructure, protected API routing, secure transport, controlled storage access, and role-based account controls to help protect information. No system can guarantee absolute security, but PropertyTCO™ works to reduce unnecessary exposure and improve the platform over time.
10. User choices and requests
Users may contact PropertyTCO™ regarding support, privacy, access, correction, or deletion-related requests. A single PropertyTCO™ account may be used across both apps. Users can initiate deletion of that shared account from within either app. Deletion removes account access and disassociates the user from properties; it does not erase the canonical property record or another owner’s access. Some marketplace, transaction, security, tax, dispute, or recordkeeping information may still be retained when reasonably necessary.
11. Children
PropertyTCO™ is not intended for children under the age required to form a valid account under applicable law. If PropertyTCO™ becomes aware that personal information has been collected from a child in a manner not permitted by law, it will take reasonable steps to address the issue.
12. Changes to this policy
PropertyTCO™ may update this Privacy Policy as the product and business evolve. Material updates will be reflected on this page with a revised effective date.
