PropertyTCO™ Privacy Policy

This policy explains what information PropertyTCO™ Residential collects, how it uses that information, how it may be shared, how long it may be retained, and what options users have regarding support, privacy, and deletion-related requests.

1. Information we collect

PropertyTCO™ may collect account information such as email address, password-related authentication data, support requests, role selection, subscription status, device-notification details, and related account metadata. PropertyTCO™ may also collect or store property-related information that users choose to enter or upload, including addresses, property facts, asset records, maintenance history, warranty details, contractor requests, verification records, report requests, uploaded photos, receipts, manuals, and similar documents.

2. How we use information

  • To create, authenticate, secure, and maintain user accounts.
  • To operate property, asset, maintenance, contractor, verification, and report workflows.
  • To generate in-app alerts and limited transactional emails such as verification or password reset messages.
  • To process support requests, product feedback, administrative reviews, and account-related actions.
  • To detect misuse, protect the platform, enforce policies, and comply with legal obligations.
  • To improve PropertyTCO™ defaults, estimate quality, forecasting logic, and product operations.

3. Aggregated and de-identified model improvement

PropertyTCO™ may use aggregated, de-identified, or statistical information derived from platform activity to improve replacement cost assumptions, utility estimates, maintenance schedules, pricing models, reserve projections, coverage audits, and related product intelligence. When used for those purposes, PropertyTCO™’s aim is not to identify an individual user directly, and direct identifiers such as name or email are not intended to be part of those model-improvement datasets.

4. Sharing of information

PropertyTCO™ does not sell personal information. Information may be shared with service providers that support hosting, cloud storage, authentication, notifications, analytics, security, and future payment processing. Information may also be shown to other authorized users inside the platform depending on the workflow, such as co-owners, contractors, appraisers, real estate agents, certifiers, or admins when access is requested, granted, or otherwise permitted by the product design.

5. Uploaded files and property documentation

Users may upload images, receipts, manuals, warranties, service documents, and other files. Those files may be used to support property organization, maintenance history, contractor coordination, verification workflows, and report generation. Uploaded files may remain associated with the relevant property, asset, or workflow record for recordkeeping and operational purposes.

6. Data retention

PropertyTCO™ retains information for as long as reasonably necessary to operate the platform, maintain account and property records, support reports and workflow history, resolve disputes, protect the service, comply with legal obligations, and satisfy tax, security, accounting, or recordkeeping requirements. Retention periods may vary depending on the type of data and the workflow involved.

7. Security

PropertyTCO™ uses AWS-hosted infrastructure, protected API routing, secure transport, controlled storage access, and role-based account controls to help protect information. No system can guarantee absolute security, but PropertyTCO™ works to reduce unnecessary exposure and improve the platform over time.

8. User choices and requests

Users may contact PropertyTCO™ regarding support, privacy, access, correction, or deletion-related requests. Users can also initiate account deletion from within the app. Some information may still be retained where PropertyTCO™ has a legal, tax, fraud-prevention, security, dispute-resolution, or recordkeeping reason to keep it.

9. Children

PropertyTCO™ is not intended for children under the age required to form a valid account under applicable law. If PropertyTCO™ becomes aware that personal information has been collected from a child in a manner not permitted by law, it will take reasonable steps to address the issue.

10. Changes to this policy

PropertyTCO™ may update this Privacy Policy as the product and business evolve. Material updates will be reflected on this page with a revised effective date.
